Booking a pet funeral in Hong Kong: how to confirm the time and arrangements

A gentle checklist for Hong Kong pet owners: what to confirm in writing when booking a pet funeral, from pickup time to costs, to reduce avoidable mix-ups.

When your pet has just passed away, even one phone call can feel like too much. Many owners book a pet funeral through a quick WhatsApp chat or a late-night call, often through tears. That is completely understandable. You are not thinking about schedules. You are thinking about them. Still, a few small checks when you book can spare you a missed pickup or a clashing appointment later, at a time when you have no energy left to sort it out.

This checklist is here to keep you company through that step.

Why bookings sometimes go wrong

Pet funeral companies do not all work the same way. Some keep bookings in one central system. Others rely on a chat thread, a paper diary or one staff member’s memory. Most teams do their very best, but informal records can slip, especially on busy days. Things owners sometimes run into:

  • A pickup time agreed by message that never reached the driver.
  • Two families booked into the same farewell room at the same time.
  • A changed date that one staff member knows about but another does not.
  • A final bill that differs from the quote because extras were never written down.

None of this means you should distrust the company. It simply means it is worth asking how they keep track.

A little context before you call

If you decide not to use a private service, the Food and Environmental Hygiene Department explains that a pet’s body can be wrapped in a plastic bag marked “dead animal” and handed to staff at a public refuse collection point, and that the bodies collected are taken to landfill (FEHD; 1823). Owners who would like a farewell, or who hope to keep their pet’s ashes, usually contact a private pet funeral or cremation company instead. Whichever route you choose, a choice made out of love is never the wrong one.

What to confirm when you book

Ask the company to confirm these points, ideally in writing:

  1. The date and time of each step. Pickup, any farewell or viewing, the cremation itself, and when the ashes will be returned or ready to collect.
  2. The pickup details. The exact address, a contact number for the day, and roughly when the driver will arrive. Ask who to call if the driver is running late.
  3. Single or group cremation. Make sure the booking clearly states which one you chose, and ask whether ashes are returned to you with that option.
  4. Your pet’s details. Name, type of animal, breed and approximate weight, plus your own name and phone number, all spelled correctly.
  5. What is included and what costs extra. Ask for an itemised quote covering pickup, cremation, urn, ashes delivery and any memorial options.
  6. Deposit and balance. How much you pay now, how much later, and how you will be told the remaining balance.
  7. A booking reference. A number or written confirmation you can quote if you need to call back.

If someone says “don’t worry, it’s all noted”, it is perfectly fine to ask them kindly to send it by message or email as well. A caring company will understand.

On the day: small things that help

  • Keep the confirmation message somewhere easy to find, or ask a family member to hold on to it.
  • If plans change, call rather than only sending a message, and ask for an updated confirmation.
  • If someone else will hand over your pet, give them the booking reference and the company’s phone number.
  • Ask whether you will be told when your pet has arrived at the facility. Many owners find that small update comforting.

Signs of a well-organised company

You cannot see inside a company’s office, but some signs are reassuring:

  • They read the key details back to you before ending the call.
  • They send a written summary without being asked.
  • They can tell you straight away whether a time slot is free.
  • The final bill matches the quote, and any extras are explained before you agree to them.

Taking these few minutes is not about being difficult. It is about making sure the last thing you do for your companion goes the way you hoped.

If you run a pet funeral service

When bookings live across WhatsApp threads and a notebook, clashes and missed pickups are hard to prevent, however caring your team is. Stribe POS adds diary entries automatically as jobs are created and helps you avoid double bookings. When a customer asks for collection, the system prompts for the date and time and adds the job to the daily drivers’ schedule. You can record staff holidays and time off, find saved customers by name or phone number, and take a deposit now with the balance tracked on the customer’s account.
